Terms and Conditions

Important: DentaSphere is a clinic management and AI-assisted workflow platform. It does not replace licensed dental, medical, legal, accounting, or compliance advice. Clinic owners, doctors, administrators, and authorized users remain responsible for reviewing, approving, and acting on all clinical, operational, billing, and patient communication decisions.

Welcome to DentaSphere, an AI-powered dental clinic management software platform developed and operated by The CoreSphere Technologies. By registering for, accessing, or using DentaSphere, you agree to these Terms and Conditions.

1. Acceptance of Terms

By accessing DentaSphere or registering for a trial, you confirm that you are authorized to act on behalf of your dental clinic, practice, organization, or business. If you do not agree with these Terms, you must not register for or use DentaSphere.

2. About DentaSphere

DentaSphere provides software tools for dental clinic operations, including but not limited to appointment management, patient records, billing, prescriptions, follow-ups, clinic settings, AI-assisted workflows, reminders, dashboards, reporting, and communication support.

DentaSphere is a software-as-a-service platform. We provide the technology platform, but the clinic remains responsible for the correctness, legality, clinical suitability, and patient-facing use of all information entered, generated, stored, shared, or communicated through the platform.

3. 30-Day Free Trial

DentaSphere may offer a 30-day free trial for eligible clinics. Trial access is provided at our discretion and may be suspended, limited, or terminated if false information is provided, if the platform is misused, or if activity appears unsafe, abusive, unlawful, or non-compliant.

Trial availability, duration, features, and limits may change without prior notice. Continued access after the trial period may require an active paid subscription.

4. Account Registration and Credentials

  • You must provide accurate clinic, administrator, email, phone, and workspace information during registration.
  • You are responsible for keeping login credentials secure.
  • Temporary passwords must be changed on first login where required.
  • You are responsible for all activity performed under your clinic workspace and user accounts.
  • You must immediately inform us if you suspect unauthorized access or misuse.

5. Subscription, Billing, and Access

After the free trial, continued use of DentaSphere may require an active subscription. Subscription plans, pricing, billing cycles, payment terms, taxes, and included features may vary.

Failure to pay subscription charges may result in suspension, limitation, or termination of access. We may provide a grace period at our discretion, but we are not obligated to do so.

6. Clinic and Patient Data Responsibility

  • Your clinic retains ownership of patient records, appointment data, prescriptions, billing data, uploaded media, and other clinic data entered into DentaSphere.
  • Your clinic is responsible for ensuring that patient data is collected, entered, stored, used, and shared lawfully.
  • Your clinic must obtain any patient consents required for communication, follow-ups, WhatsApp/SMS/email messages, clinical images, prescriptions, invoices, reminders, and AI-assisted features.
  • Your clinic must ensure that only authorized users access patient or clinic data.

7. AI-Assisted Features

DentaSphere may include AI-assisted features such as suggestions, summaries, follow-up recommendations, billing reminders, appointment confirmation assistance, AI Vision summaries, support guidance, and workflow recommendations.

  • AI outputs are assistive and may be incomplete, inaccurate, or unsuitable for a specific clinical or operational situation.
  • Doctors, clinic administrators, and authorized users must review and approve AI-generated or AI-assisted content before acting on it or sharing it with patients.
  • DentaSphere does not provide medical diagnosis, treatment decisions, legal advice, tax advice, or financial advice.
  • The clinic remains responsible for all final decisions and patient communication.

8. WhatsApp, SMS, Email, and Communication Consent

DentaSphere may support communication through WhatsApp, SMS, email, phone links, or third-party messaging providers for onboarding, login credentials, appointment confirmations, billing reminders, payment links, follow-ups, review requests, support messages, and service updates.

  • By registering, the clinic administrator consents to receive account, trial, billing, service, onboarding, and support communication from DentaSphere.
  • The clinic is responsible for obtaining patient consent before sending patient-facing messages through WhatsApp, SMS, email, or other channels.
  • Message delivery depends on third-party providers, telecom networks, WhatsApp/Meta policies, and recipient availability.
  • DentaSphere is not responsible for failed delivery, delays, spam filtering, blocked numbers, messaging policy restrictions, or third-party service interruptions.

9. Acceptable Use

You agree not to use DentaSphere to:

  • Break any applicable law, regulation, or professional duty.
  • Upload malicious code, attempt unauthorized access, or compromise platform security.
  • Access or attempt to access another tenant’s data.
  • Send spam, abusive, misleading, unlawful, or non-consented communication.
  • Store or share content that is illegal, harmful, fraudulent, defamatory, or violates third-party rights.
  • Use the platform for any purpose unrelated to legitimate clinic, healthcare, dental, administrative, or business operations.

10. Third-Party Services

DentaSphere may integrate with third-party services such as hosting providers, email services, SMS/WhatsApp gateways, payment gateways, AI providers, analytics tools, cloud storage, or authentication services. Use of such third-party services may be subject to their own terms, pricing, limitations, and policies.

We are not responsible for outages, policy changes, charges, account restrictions, or service limitations imposed by third-party providers.

11. Data Backup and Availability

We aim to maintain reliable service availability and reasonable data protection practices. However, no online service can guarantee uninterrupted availability or absolute data security. Clinics should maintain their own operational backup/export procedures where legally or operationally required.

12. Suspension or Termination

We may suspend, restrict, or terminate access if there is non-payment, suspected misuse, security risk, unlawful activity, false registration information, violation of these Terms, or any activity that may harm DentaSphere, other tenants, patients, third-party providers, or the public.

13. Limitation of Liability

To the maximum extent permitted by law, DentaSphere and The CoreSphere Technologies shall not be liable for indirect, incidental, special, consequential, punitive, or business-loss damages, including loss of revenue, data, goodwill, patient communication, or operational continuity.

The clinic remains responsible for verifying clinical, billing, prescription, communication, compliance, and operational decisions made using DentaSphere.

14. Changes to Terms

We may update these Terms from time to time. Updated terms will be posted on this page with the latest update date. Continued use of DentaSphere after changes means you accept the updated Terms.

15. Governing Law and Jurisdiction

These Terms are governed by the laws of India. Any dispute relating to these Terms, DentaSphere, or The CoreSphere Technologies shall be subject to the jurisdiction of courts in Mumbai, Maharashtra, India.
